Our North Little Rock facility plays a critical role in the manufacture and assembly of Cat Earthmoving product such as Motor Graders, Medium Wheel Loaders and Paving Products that help our customers build a better world and we have an exciting opportunity for you to join the team as an Administrative Assistant!   Reporting to the Operations Manager, you will serve a critical role in enabling efficient plant operations by providing advanced clerical and administrative support to the Operations Manager and his team.   Serving as a “right hand” to the Operations Manager, you will participate in staff meetings, manage communications within his team, plan and facilitate meetings and events (e.g. safety celebrations) among other related responsibilities.

Specifically, in this role, you can expect to:

  • Provide administrative support that include all aspects of travel, logistics including scheduling and organizing conference calls, on-site/off-site meeting and event planning while providing a professional customer service presence.
  • Manage all communication between the Operations Manager , global customers, and global staff members.
  • Manage expense reporting.
  • Maintain the annual calendar for the Operations Manager to optimize efficiency and engagement with internal / external stakeholders.
  • Ensure direct reports and staff are informed of communications and meetings with key stakeholders.
  • Monitor process for information sharing and confidentiality and improve processes as needed within the facility

To be successful in this role, you must bring (basic qualifications):   

  • An associate degree
  • At least 2 years of experience demonstrating effective support of a senior leader within a corporate or plant environment.
  • At least 2 years working with Microsoft Office applications such as Outlook, Word, PowerPoint, Teams and Excel with the ability to easily navigate and create/edit content.
  • At least 2 years of experience scheduling / coordinating calendars, travel, and meetings with global perspective.

  • Ability to work within a team environment as well as independently. 
  • Ability to coordinate international travel, travel with visa requirements, and within multiple time zones.
  • Ability to exercise independent discretion and judgment to solve complex problems regarding prioritizing.
  • Ability to organize and schedule projects, events, and meetings.
  • Ability to quickly adapt to new technology and be the trusted resource for your leader with any tech support.
  • Experience with Concur expense reporting
  • Excellent oral and written communication and collaboration skills.
  • Ability to maintain confidentiality.
