As an Account Coordinator at Caterpillar, the incumbent will manage the execution of our business with the US Government.  The incumbent will work in a team environment consisting of other contract administrators, sales account managers, engineers, and program managers. Job tasks include contract compliance, engine/machine/work tool/parts ordering, Cat dealer and subcontractor administration, factory coordination, transportation scheduling, invoicing, and payment collection from customers.  Account Coordinator responsibilities may involve providing support to multi-year duration programs, domestic vs. foreign manufacturing content determination, and stringent audit and contract closeout procedures.  The incumbent is likely to be involved in the coordination of multi-factory source product orders and multiple service providers from product build to designated delivery point.  External interface may include factory scheduling and shipping functions, a diverse supplier and sub-contractor community, the dealer network, contract packagers, carriers, government procurement officers at the military and civilian agency level, and primary contractors to the government.  Internal interaction will include, but are not limited to, departmental marketing, business resources, engineering groups and legal.  Customer communication can involve both domestic and international venues.

 

This position manages the completion of its own work assignments and coordinates with other team members to meet rigid contract completion dates.  Jobholders are given latitude within departmental guidelines to be problem solvers and to initiate work solutions and process innovations.  Professional expertise is a key characteristic to both support sales/revenue growth objectives and to minimize corporate risk in the interpretation of acceptable contract requirements.  Customer focus is a primary attribute as is understanding and acceptance of the importance of customer relationship management, communication integrity with multiple supply chain components, and demonstration of advisory leadership and sound business acumen. Limited travel is required of this position (Less than 5%).


Job Duties/Responsibilities may include, but are not limited to:

  • Process order entry and validation.
  • Report order status.
  • Order follow-up; entry-build-delivery-invoice and maintain communication as liaison between factory, divisional work team, and customer.
  • Issue purchase orders to suppliers and subcontractors.
  • Supplier invoice review and payment.
  • Maintain data files.
  • Adhere and use government systems and reporting forms.
  • Generate transportation bills of lading.
  • Collect Caterpillar Defense issued invoice reconciliation/receivables.
  • Prepare and maintain a requirements forecast.
  • Factory scheduling and shipping functions.
  • Manage completion of own work assignments and coordinate with others in the team environment to meet rigid deadlines.


Qualifications

Basic Qualifications:

  • 3+ years of relative work experience
  • Superior PC skills with strong understanding of the entire MS Office suite of software.
  • Basic understanding of the Federal Acquisition Regulation (FAR)/Defense Federal Acquisition Regulation (DFAR).

Top candidates will also have:

  • Associate level degree/certification in, paralegal or other business-related discipline.
  • Working knowledge of Caterpillar factories, suppliers and Cat dealers.
  • Experience with Caterpillar's product order and miscellaneous invoice processing systems (CMOPS/EOMP/CMIPS), parts ordering system (ANTARES), and Mach1/SAP.
  • Experience with Salesforce
  • Experiences using Caterpillar’s NextGen business systems.
  • Familiarity with the Caterpillar product line.
  • Experience in order processing, scheduling, logistics planning, etc.
  • Experience with legal contracting/agreement actions, purchasing, invoicing, and account or financial business analysis.
  • Strong oral and written communication skills.
  • Very strong organizational and record keeping skills.
  • Strong work ethic, detail oriented, positive attitude, and proven team player with a strong customer focus.
